Who we are

Tgirl Club is operated by Alix Watts, who is the data controller responsible for the personal information described in this policy.

Website: https://tgirlclub.co.uk
Privacy enquiries and data-deletion requests: support@tgirlclub.co.uk

Information we collect

Depending on how you use our services, we collect:

  • Membership details: your name, email address, confirmation that you are aged 18 or over, membership number, joining date and membership administration records.
  • Booking details: your name, email address, optional membership number, event or class, ticket option, quantity, amount, booking reference, booking date and relevant booking or payment status.
  • Enquiries: your name, email address, selected subject, message and subsequent correspondence.
  • Volunteer details: your email address, telephone number and relevant correspondence.
  • Newsletter information: your marketing preferences, evidence of consent, unsubscribe requests and newsletter sending records.
  • Technical information: information used to operate and protect our services, which may include IP addresses, browser details, access records and security logs.

Most information comes directly from you. Technical information may be generated when you use our services.

Please do not send passwords, full payment-card details, clinical records or unnecessary sensitive personal information through general enquiry forms.

How we use information

We use personal information to:

  • Create and administer memberships.
  • Send membership numbers and necessary service messages.
  • Process event and class bookings.
  • Verify eligibility for member ticket options.
  • Respond to enquiries and concerns.
  • Coordinate volunteer support.
  • Send newsletters where you have agreed to receive them.
  • Maintain necessary accounting records.
  • Protect the website and investigate misuse.

We rely on the following lawful bases:

PurposeLawful basis
Membership administration and general enquiriesOur legitimate interests in administering requested services and responding to you
Event and class bookingsPerforming a contract or taking steps at your request before entering a contract
Volunteer coordinationOur legitimate interests in organising volunteer support
Optional newsletters and promotional emailsYour consent
Required tax and accounting recordsLegal obligation
Website security and handling disputesOur legitimate interests in protecting our services and resolving problems
Maintaining unsubscribe recordsOur legitimate interests in respecting your communication preferences

Where we rely on legitimate interests, we must balance those interests against your rights and reasonable expectations.

Required fields are identified on our forms. Without the necessary information, we may be unable to process your request.

Membership checks and bookings

Providing a membership number when booking is optional. If supplied, the system checks it against your email address to determine which ticket options are available.

This check determines access to member pricing. If you believe the result is incorrect, contact us for assistance.

Our booking form does not ask you to enter full payment-card details.

Member testimonials

When you submit a testimonial, we collect your membership number, membership email address, optional public display name, event date, comment, submission time, membership-check time and your agreement to publication. We check the membership number and email against an Active membership record. This checks the database match; it does not confirm ownership of the email address.

All submissions are held for administrator review. If approved, only your comment, chosen display name and event date are published. If you leave the name blank, we use “Club member”. Your email address and membership number are private and available to website administrators for verification and moderation, subject to the hosting and backup arrangements described below. Submitting a testimonial does not subscribe you to marketing.

Testimonial submissions and their private verification details remain stored in WordPress until deleted. Unpublishing a testimonial does not erase the stored submission. Trashed submissions may be deleted through WordPress’s scheduled Trash cleanup. To request removal of a published testimonial or deletion of its stored details, contact support@tgirlclub.co.uk. Deleted information may remain in backups as described below.

Please do not include personal information about other people in your testimonial. The form uses a hidden spam-check field, short-lived hashed request counters and form security tokens to help prevent abuse.

Newsletters and marketing

Joining Tgirl Club, making a booking or contacting us does not automatically subscribe you to marketing.

We send newsletters only where we have recorded your agreement. Members without a recorded marketing opt-in remain excluded.

Newsletters are sent from members@tgirlclub.co.uk. You can unsubscribe using the link in a newsletter or by contacting support@tgirlclub.co.uk.

Unsubscribing does not cancel your membership or prevent necessary communications about membership or bookings.

Our newsletter system records sending activity. It does not use tracking pixels to record email opens or track clicks on newsletter links. A sending record does not establish that an email was delivered or read.

Who receives information

Membership administration

Access to membership administration records is restricted to Alix Watts, subject to the service-provider arrangements below.

We do not publish member directories or public attendee lists.

Venue management

We share booking information needed to manage admission to an event with venue management.

Venue management securely destroys its admission list after the event concludes. Tgirl Club retains its own necessary booking and accounting records according to the periods below.

Hostesses

Where you specifically request direct communication with a hostess, we may pass the relevant contact and enquiry details to that hostess to respond to your request.

Service providers

We use:

  • Hostinger for website hosting, email services and website backups.
  • Wordfence, provided by Defiant, to help protect the website against malicious activity.
  • Google Maps to display venue maps.

These services may process information needed to provide their functions. Wordfence uses security-related information and may set cookies associated with authentication and security features. Further information is available in Wordfence’s privacy guidance.

We may also disclose information where required by law or where necessary to obtain professional advice about a dispute.

Cookies and embedded maps

WordPress and security features may use cookies to support login, authentication and website protection.

Our venue pages contain embedded Google Maps. When a map loads, your browser connects to Google. Google may receive information such as your IP address and browser details and may use cookies or similar technologies.

Google explains its handling of information in its Privacy Policy.

You can manage cookies through your browser settings, although blocking cookies may affect some website functions. Browser settings do not necessarily prevent all information being transmitted when external content loads.

Links to other websites lead to services with their own privacy arrangements.

International processing

Our service providers may process information outside the United Kingdom.

Hostinger’s published data-processing agreement includes contractual provisions for international transfers, including the UK International Data Transfer Addendum where applicable. Details are available in Hostinger’s Data Processing Addendum.

Google explains the frameworks it uses for international processing in its information about data-transfer safeguards.

Contact support@tgirlclub.co.uk if you would like further information about the safeguards relevant to your information.

How long we keep information

Our retention policy is:

InformationRetention period
Membership recordsWhile membership remains active, then 12 months after cancellation. Memberships with no recorded activity for three years are reviewed to decide whether continued retention is necessary.
Booking details and attendance lists held by Tgirl Club12 months after the event or class, except information still needed for accounting or an unresolved dispute.
Venue management’s admission listsSecurely destroyed after the event concludes.
Financial recordsAt least five years after the 31 January Self Assessment submission deadline for the relevant tax year, and longer where applicable rules or an ongoing tax enquiry require it.
Contact enquiries12 months after resolution.
Unsuccessful volunteer enquiriesSix months after the enquiry closes.
Active volunteers’ email addresses and telephone numbersDeleted within 30 days after volunteering ends, unless the individual specifically requests retention for future invitations.
Complaints and disputesUntil resolved, followed by a review of any continuing legal or evidential need.
Newsletter sending records12 months after sending.
Marketing consent evidenceWhile subscribed and for two years after unsubscribing, subject to an unresolved complaint.
Unsubscribe recordsA minimal record while we continue marketing, to prevent unwanted messages.
Security logs under our direct controlUp to 90 days, unless needed to investigate an incident.
Hostinger email access logs30 days.

Financial retention applies to necessary accounting evidence. It does not automatically extend the retention of unrelated membership information, enquiries or attendance details.

Volunteers who request future invitations can withdraw that request by contacting us.

Backups

Hostinger retains daily website backups for seven days and weekly website backups for six weeks.

Information deleted from live systems may remain in backup copies until those copies expire. Under these arrangements, this can take up to six weeks.

If a backup is restored, relevant deletion and unsubscribe requests must be reapplied.

Your rights

Depending on the circumstances, you can request:

  • Access to your personal information.
  • Correction of inaccurate information.
  • Deletion of information we no longer need or have a lawful reason to retain.
  • Restrictions on how we use information.
  • A portable copy of certain information.

You can object to processing based on legitimate interests and to direct marketing.

Where we rely on consent, you can withdraw it without affecting the lawfulness of earlier processing.

These rights have exceptions. For example, necessary financial records may need to remain after membership ends.

Email support@tgirlclub.co.uk to make a request. We may need to verify your identity before disclosing or changing information.

You can also complain to the UK Information Commissioner’s Office.

Age restriction

Our membership and event services are intended for people aged 18 or over. Our membership form asks you to confirm that you meet this requirement.

Please contact us if you believe someone under 18 has supplied membership information.

Changes to this policy

We will update this policy when our services or information-handling arrangements change. The latest update date appears at the top of this page.
